About the Role
The Administrative Coordinator will support the Legends Global Business Development team in winning new business and driving growth through organised administrative and project support. Responsibilities include coordinating schedules and communications, managing documents and CRM/pipeline trackers, preparing meeting materials, assisting with proposals and due diligence, and occasionally developing presentations or conducting market and competitor research. The ideal candidate is a proactive, highly organised, and commercially aware team player with strong administrative skills and sound business judgment, capable of thriving in a fast-paced environment.

Key Responsibilities:
- Prepare agendas, coordinate logistics, and assemble presentation materials; capture minutes and drive follow-up action plans to closure.
- Assist go-to-market planning by coordinating inputs, compiling desk research, and maintaining concise market/competitor fact packs.
- Support and maintain benchmarking libraries and support simple process-mapping to identify and log operational gaps for the project team.
- Support the team and produce timely performance packs by pulling data from CRM/finance, updating KPI trackers, and flagging variances, risks, and next steps.
- Support the team by keeping cross-functional work aligned by updating project trackers, circulating status reports, and chasing dependencies on behalf of Legends clients/partners.
- Support commercial proposal development with calendar management, compliance checklists, document formatting, approvals routing, and portal submissions.
- Maintain CRM and pipeline hygiene—create/update opportunities, contacts, and notes; generate weekly pipeline and activity reports.
- Provide day-to-day administrative support including document control and updating, general accounts payable support, and basic travel/expense coordination for pursuit teams.
We are looking for someone with:
- Experience in an administrative role within a medium to large scale business.
- Full professional fluency in English is required.
- Ability to thrive in fast-paced environment and manage multiple priorities with tight deadlines.
- Exceptional written and verbal communication skills.
- Adept at establishing and maintaining relationships with key internal and external stakeholders.
- Full proficiency in Excel, Powerpoint, BI and CRM systems.
